Webmeeting: GotoMeeting Set Up (Screenshots)

The easiest way to share information is to make it visible to everyone. That's why we like to set up a webmeeting where we can share our screen (in case we want to demonstrate or explain something) or your screen (in case you want to show us something).

We will set up a webmeeting and send you an e-mail invitation that contains instructions on how you can participate, for example:
Dear xxxx,

1. Please join my meeting, Thursday, July 24, 2014 at 10:00 West-Europa (zomertijd).

2. Use your microphone and speakers (VoIP) - a headset is recommended. Or, call in using your telephone.

The most important item is the Meeting ID. This will identify our virtual conference room where we will meet and share information.

01. Click on the gotomeeting link in the e-mail to start the webmeeting session. The link will start the meeting software automatically. If you don't have received an e-mail, open up a browser and enter joingotomeeting.com in the address bar.

02. The GotoMeeting start screen will be shown. On this screen you enter the meeting id number and click on 'Continue'.

03. Click on the 'StartGoToMeeting' button to start the session.

04. In some cases some windows will pop up asking you to run or install temporary GoToMeeting software. If this happens, click on 'OK' or 'Run' to continue.

05. During the start up, some windows are displayed to inform you about the progress.

07. At the end of the start up process, a window will be displayed where you can enter your name and e-mail address. The name will be displayed in the Attendees section. The e-mail address is optional and only needed when the presenter wants to send the notes of the meeting by e-mail.

08. Once you've entered your name, you will be in the virtual meeting room. If the presenter has already shared his screen (as is the case in the sample screenshot below), you will see his/her screen. You will see another notification in case the meeting has not started yet or if the presenter has not shared his/her screen.

09. If you are made the presenter (so you can share you screen), the current presenter will transfer the presentation role to you. A window will be displayed so that you can start sharing your screen.

10. Sometimes it is easier to not only share your screen but also your keyboard and mouse. The other participant can then enter data and use your mouse. This will be much simpler than follow instructions like: 'Please click on this and then enter 'xxx' in that field..'. Just sit back and watch! There are 2 different ways to start sharing your keyboard and mouse: 1. Click on the 'Screen' tab or 2. Click on the 'Attendees' tab.

11. A window will be displayed that will tell you that your keyboard and mouse input has the greatest priority.

12. The GotoMetting Controls window on the right side of your screen probably takes up a lot of space. You can minimize this window so that it only be displayed as a small bar at the top side of your screen.

13. When the organizer ends the meeting, a window will be displayed that informs you that the meeting has ended. You can close the browser window since you are no longer connected.
